IMPORTANT EVENT INFORMATION

ATTENDEE LIST

Each registration packet will contain an attendee list with the names and assigned car numbers of the attendees, and possibly cell phone numbers to aid road captains needing to reach any participants and to facilitate any mass announcements that need to be made to the group.

BONFIRE 

Weather permitting (no rain and acceptable evening temperatures), take the chill off and roast a marshmallow, have a S’more, or a hot chocolate and socialize with your fellow Kappa owners by gathering around the campfire from 8:30-10:30 p.m. Sunday through Thursday. This will take place in the small parking lot on the north end of the Mountaineer Conference Center behind the hotel/pool building.

In our case, this is the name of a Game of Drive, Grab and Answer. Points are earned through participation in Daily runs, specified Loot gathered, and Factoids (questions) answered. Each person (or couple) must submit their answers and bag by 6 PM Thursday, June 22nd.Awards given at banquet!

CAMPGROUNDS

“Beckley Exhibition Coal Mine Campground” is closest to the host hotel. Other area campgrounds are available. Research/reserve on your own to best meet your requirements.

CAR SHOW 

Bob Feigel is working with the Beckley Chamber of Commerce to host the Kappa Car Show in downtown Beckley on Thursday, June 22nd from 7-9 p.m. (about 10 minutes from the hotel). Award categories will be decided, with awards presented at the banquet the following evening. We are working with the Chamber on possible entertainment and a food truck for the event.

CARWASH STATION

A designated car washing area will be located near the east end of the hotel near the dumpsters. We will provide a hose, bucket and sprayer. Please ensure the water is turned off when you are finished.

BIG CREEK PEOPLE IN ACTION

This local West Virginia nonprofit organization, founded in 1990 by the citizens of McDowell County, West Virginia, serves the community in the realms of education and literacy, leadership development, volunteer service, service learning, housing, food and recreation. Their vision is one of empowered and self-sufficient people living in communities that are economically vibrant, democratic and socially just.

DAILY $$

Lunches will need to be purchased individually at our designated daily lunch stops. Please ensure you have enough money for meals and any fuel, snacks, and beverages that you wish to purchase while enroute. Other costs that may be associated with a given run are listed with each run description. The “Back of the Dragon” and “Claw of the Dragon” Runs will require travel to Virginia via the I-77 tollway at a cost of $4.25 in each direction. Cash or EZPass only – NO credit cards.

EVENT OFFICE

The event office for the week will be in a designated hotel room. The event registration table, run maps, directions handouts, and area brochures will be located here, as well as a computer to transfer GPS routes to your Garmin if desired. This room will be staffed daily during your stay. The Beckley Chamber of Commerce will be on-site from Noon to 5 PM on Sunday to provide you with area information.

FUEL

Gasoline is available at stations adjacent to the hotel and on the opposite side of the freeway as well as other nearby area locations.

GARMIN GPX FILES

Each of the routes has had custom driving directions developed in Garmin BaseCamp. The Road Captains will have these loaded on their Garmin GPS units. If you have a Garmin unit and if it accepts custom routes, you would be welcome to have those loaded on your GPS unit, if desired.

The Beckley Auto Mall (3934 Robert C Byrd Drive) was the former Pontiac dealership in Beckley. Crossroads Chevrolet is located in nearby Mount Hope.

ICE CREAM SOCIAL 

Plan to join your fellow Kappa owners for ice cream Wednesday evening after the group photo. This will take place in the Mountaineer Conference Center on the west side of the hotel. 

LARGE ANIMALS

A reminder to all that our runs will take place in heavily wooded areas of the state. Deer and other large animals may be encountered on a daily basis. BE ALERT! 

LUNCH RUNS

Once all of the Organized Runs have been dispatched for the morning, the Lunch Runs will depart around 10:30 a.m. for an approximate 60-90 minute drive to a restaurant. After lunch, we will return to Country Inn via a different scenic route, arriving back about 2-2:30 PM. 

MEET AND GREET 

Plan for a Meet and Greet Monday evening in the Mountaineer Conference Center. This will take place from 6:00 to 8:00 p.m. and will include food and soft beverages. Meet your fellow Kappa owners!

PARK ENTRY FEES

Despite being America’s Newest National Park, there are no entry fees to visit the Park’s locations – Canyon Rim Visitor Center, Sandstone Visitor Center, Thurmond Depot and Grandview Visitor Center.

PHOTO SLIDE SHOW

Send your photos during the week to MKC member Tom Bell, who will assemble them to be projected on the big screen during the banquet on Friday evening. An e-mail account will be developed for this.

RADIOS / CELL PHONES

Cell phone coverage may be limited in many areas so do not plan on that being your major form of communication while on the road. Two-Way radios are recommended for every ride, Your Road Captain will specify what channel your group will be on for each ride. Someone may have an extra radio that you could use during a given ride. About ten loaner radios are available if you do not have one. These will be available on a first come, first served basis in the event office. A $20 deposit will get you the radio including fresh replacement batteries throughout the week as needed. Your $20 will be returned when the radio is returned.

REGIONAL TOURISM

We are working with the Chamber of Commerce on coupons valid for discounts at local merchants and restaurants which will be enclosed in your registration packet. The best source of area information will be found at Visit Southern West Virginia (1408 Harper Rd). They are open Monday-Friday 8:30A to 4:30P

REGISTRATION / WAIVER OF LIABILITY

Event registration must be Paid in Full and BOTH the driver AND the passenger must sign the Waiver of Liability before your registration packet will be released to you. The packet will contain your Name Badge(s), Windshield Sticker, and Important Event Information.

ROAD CAPTAINS

Road Captains will hand out printed turn-by-turn route directions with mileages to each driver every morning before departure. Set your trip odometer to “0” (zero) in the run staging area each morning to get the most out of these driving directions handouts. As we are all new to these roads and routes, please feel free to follow along. You must notify your Road Captain ahead of time if you plan to leave the group for any reason during the ride. Please notify your daily Road Captain prior to staging time if you are changing your Run plans and will not be attending a particular scheduled ride. The Road Captain will be given a daily updated printed list of attendees, so they will not be holding up the group waiting/looking for you if that information is known ahead of time. Some runs may not have pre-assigned “Sweepers”. Please feel free to volunteer for that position on any of your scheduled runs.

ROOM RAFFLE

Room raffle tickets will be sold throughout the week and during the banquet, with the drawing following. The winner gets their hotel room charges waived. Participants remain responsible for any incidental charges on their room account.

RUN DEPARTURE TIMES

Please plan to have your car in the staging area 15 minutes ahead of your scheduled departure so the Road Captain can go over the plan for the day and get started on time. Your car should have a full tank of gas and you should have an empty bladder. Enclosed maps will indicate where to stage. A map with your parking space and staging areas will be posted near the event office and additionally one is attached to this packet for your convenience. It will expedite your departure from BIO breaks and lunches if you can back into a parking spot upon arrival at those stops. 

RUN SCHEDULE BOARD

A bulletin board will be posted outside the event office containing a list of all participants on all rides. This is where you can add, delete, or change your run schedule. Each run is car limited, primarily due to restaurant capacity at our Mom & Pop lunch stops. Only if someone cancels their space in a ride that is full, can you join that run. Please indicate any changes early, so a current, updated list of participants can be generated for the road captains each morning.

Silent auction items will be on display in the Event Office throughout the week and will close at 10 p.m. on Thursday, June 22nd. You may pay for and pick up your items then or beginning Friday morning, June 23rd until 4 PM. Live auction items will be open for live bidding after the banquet meal when we are gathered in the ballroom at Tamarack.  

SOCIAL MEDIA

Feel free to post photographic highlights and positive experiences of the week on the Facebook Group Page. If there is something you are unhappy about, let the organizers know so we can try to rectify it.

TOLL ROADS

You may see signs periodically stating that you will need to pay a toll on the freeway. ONLY the Claw of the Dragon / Back of the Dragon Runs will take you on a toll road. All of the other runs are designed to bypass the toll booths and you will not pay a toll unless you do not follow the printed directions. Your greatest risk of getting caught with a toll is trying to go North on Hwy 19 from the I-77 / I-64 freeway. Our scheduled routes will put you on Hwy 16 until you are north of the toll booths and can get back on Hwy 19.

WEATHER

Beckley’s average temperatures for the third week of June range from a high of 80 degrees to a low of 60 degrees. Temperatures may be lower at higher elevations. Be sure to have some long pants and a light jacket for evenings at the bonfire or cool starts to your morning. June temps at the Mountain Lake Run restaurant range from 52 to 64 degrees.

WINDSHIELD STICKER 

Inside your registration packet you will find a numbered windshield sticker for your car. Please place it on the upper corner of the windshield on the passenger side, so that the Road Captains can determine when their group is all present, or who might be missing. The number on the sticker also corresponds to your assigned space in the parking lot for the week.

WHAT IS IT?

  • A combination of Daily RunsLoot gathered during travels and Factoids which are related questions answered. 

DEFINITION:

  • A Team is either the two people riding in one car or a solo driver.

RULES:

  • No sharing with another team. Any available resources are fair game. Each team must present and submit its answers and bag by 6 PM on Thursday, June 22nd. Awards will be given at the banquet. Tied scores?…Winner will be chosen by random draw. Breaking the rules will result in forfeiture of a team’s game. 

POINTS: (Up to 300 total, 100 for each of three categories)

  • RUNS: 25 points awarded for each completed run on Monday-

    Thursday. Road captains will verify daily runs taken. 

  • LOOT: 10 points awarded for each piece of loot retrieved and 

submitted. 

 

 

  • FACTOIDS: 5 points awarded for each correct answer submitted.
